Download PocketLord from the App Store (iPhone) or Google Play Store (Android). Your landlord or letting agent will send you an invitation email with a link. Tap the link to create your account, or open the app and sign in with the credentials provided.

Once signed in, you'll see your dashboard. This shows your property address, your landlord or agent's contact details, and any recent activity such as maintenance updates or new messages. This is your home screen — everything starts here.

Tap the Maintenance tab, then "Report Issue". Select a category (plumbing, electrical, heating, etc.), write a description of the problem, and add photos. For gas or fire safety issues, you'll see important safety instructions. Once submitted, your landlord or agent is notified immediately.

All your maintenance requests appear in the Maintenance tab. Tap any request to see its full history: status updates, notes from your landlord, and any communication with suppliers. You'll receive notifications when the status changes.

When your landlord or agent creates a tenancy agreement, you'll receive an email with a signing link. Tap the link to review the agreement — no login required. Read through the terms, add your signature, and submit. You'll receive a signed PDF copy automatically.

If your landlord issues a Form 4A rent increase notice, you'll see it in the app. You can accept the new rent or choose to challenge it at the First-tier Tribunal. The notice includes all the information you need, including the tribunal contact details and deadlines.

Find your tenancy agreements, inspection reports, and other important documents in the Documents section. Use the messaging feature to communicate directly with your landlord or agent. You can view and download documents at any time.

Create your account at app.pocketlord.com or download the app. Once signed in, add your first property by entering the address and details. Your first property is completely free — no credit card required.

Navigate to Tenants and tap "Add Tenant". Enter their name and email address, then select which property they belong to. They'll receive an invitation email with a link to download the app and create their account.

Go to the Services tab and tap "New Order". Choose a service type (inventory, EPC, gas safety, cleaning, etc.), select your property, and pick from approved suppliers in your area. Choose your preferred date and time slot, then confirm the order. The supplier will be notified by email and can accept, decline, or propose an alternative date.

From the Referencing tab, tap "New Application". Enter the prospective tenant's details. The referencing process includes credit checks, employment verification, previous landlord references, and right-to-rent checks. Results are returned directly to your PocketLord account.

Go to Agreements and tap "New Agreement". Select your property and tenant, fill in the terms (rent amount, deposit, start date), and review the agreement. PocketLord uses Renters' Rights Act 2025 compliant templates. Once you're happy, send the agreement to your tenant for e-signature.

When your tenant reports a maintenance issue, you'll be notified immediately. The request appears in your Maintenance tab with the category, description, photos, and priority level. Everything is documented automatically.

Update the status of maintenance requests (In Progress, Awaiting Parts, Completed). Add internal notes, and forward issues directly to suppliers or tradespeople via email. Their replies appear in the communication history automatically.

Navigate to the property, then tap "Rent Increase". Enter the new rent amount and PocketLord will generate a statutory Form 4A notice with the correct notice period, effective date, and tribunal information. The notice is sent to your tenant automatically and they can accept or challenge it.

Add staff members to your agency from the Team page. Staff members get access to the same portal with full property and maintenance management capabilities. They can manage everything except delete properties or modify agency settings.

Go to Settings to upload your agency logo and set a custom PDF footer. Your branding will appear on all inspection reports and documents. You can also configure notification email preferences — choose a single email for all notifications or different emails per notification type.
